Make it easier for people to take responsibility.

Volunteers want to help. They need to know what is expected and where to turn. Clubista connects their day-to-day work with the information your club needs to keep things moving.

Know where help is needed

See which positions are filled and where someone is covering temporarily. A gap stays visible until there is a lasting solution.

Give people room to decide

Record each committee's budget and spending authority. Volunteers can check their agreed limits, while requests outside them go through a separate review.

Make work easier to hand over

Keep recurring tasks and activity plans in one place. A new volunteer has a starting point for the next event or season.

From finding volunteers to delivering sponsor commitments.

Start with the work you want to organise. The product areas fit together, so an agreement reaches the people who carry it out.

From an agreement to getting it done.

Club work often passes between several people. Keep the agreements and next steps together, including when another volunteer takes over.

Deliver on a sponsorship agreement

The contract, its commitments and the invoice are part of the same relationship.

  1. Record the agreement and offer the contract for digital signing.
  2. Assign sponsor commitments and record what has been delivered.
  3. Issue invoices and give the sponsor a private link to follow progress.

Organise an event

Manage both the preparation and participation in your next club activity.

  1. Prepare a schedule and playbook with tasks.
  2. Open registration with a capacity limit and waiting list.
  3. Choose free entry, payment through a configured payment provider or invoicing afterwards.

Follow up on a request

A question or problem needs someone responsible and a visible next step.

  1. Record a request with the appropriate committee.
  2. Keep responses, handling and status together.
  3. Make follow-up visible so the issue does not disappear in a separate message thread.

Sponsorship

The sponsorship team records the agreement. The responsible committee sees what it needs to deliver and records the work. Before the next sponsor conversation, you can check what was promised and what has been done.

Your club decides how the work is shared.

An events committee, an equipment volunteer or someone who helps occasionally: volunteering takes many forms. Set up your own committees and positions. Use a one-off task when you need extra hands without creating a permanent role.

See how volunteers work together

Start with one part of club life.

You do not need to change the whole club at once. Try a familiar workflow in the demo, then discuss with the volunteers involved which responsibilities and agreements you want to record.

Plan your first steps

Before you take a look

Does our club have to use a fixed structure?

No. You set up your own committees and positions and record who holds them. A volunteer can hold several positions. Use a one-off task for an occasional contribution without creating an ongoing position.

Can people help without an account?

Yes. A shared task link lets helpers sign up with their name and email address. It does not give them access to the internal workspace. Anyone can also view the public directory and vacancies without an account.

Does Clubista replace our membership or accounting system?

No. Clubista is for club operations and volunteer work. Your membership and accounting systems keep doing their own job. Before you start, check which data exchange options are available for your systems.
